Third meeting of the Translation Contact Network

The third meeting of the Translation Contact Network, created in 2014 to foster information exchange and good practice sharing between the Centre and its clients, was held on 24 January 2017 at the Translation Centre, in Luxembourg, attended by 22 representatives from 20 client organisations.

In her opening speech, the Director underlined the importance of getting together in order to get to know each other better and discuss ways of strengthening cooperation. She highlighted two major milestones the Centre had achieved in 2016, namely the migration of all clients to the eCdT platform, the new translation workflow management system, and the implementation of the Centre’s new pricing structure, adopted by the Management Board at the end of October. She said that the main purpose of this meeting was to gather clients’ initial feedback with regard to these very important changes. She gave a brief overview of the other topics on the agenda, and thanked the Centre’s staff and in particular the representatives from the European Union Intellectual Property Office (EUIPO) and the European Environment Agency (EEA) for their contributions.

After welcoming the participants, the Head of the External Relations and Communication Section briefly summarised the state of play of the eCdT project, the main functionalities available for clients in the new eCdT Client Portal and the priorities for further enhancing eCdT in 2017. She stressed that emphasis would be placed on the translators’ module and revised CSF workflow. A roundtable discussion was held following her presentation, during which the client representatives had the opportunity to share their experience in working with the new tool.
The Head of the Demand Management Section presented the main points of the Centre’s new pricing structure that came into effect on 1 January 2017 and enables clients to benefit from the savings and enhanced language quality resulting from the use of the Centre’s translation memories.

The Centre’s second mission in the field of interinstitutional cooperation is to manage the IATE terminology database on behalf of all the participating EU institutions. As IATE is currently being developed into IATE 2, the IATE Support and Development Team Coordinator provided information about the project stages and the new features in the pipeline, reminding everyone how crucial harmonised terminology is for the translators’ work. IATE contains around 9 million terms, and its public version receives over 35 million queries per year.

The afternoon was dedicated to good practice sharing:

A Head of Language Group from the Translation Department and the Head of the Language and Technology Support Section presented some ‘tips and tricks’ for authors to bear in mind when writing documents to be translated by the Centre. The language quality of originals is undoubtedly a key element, but they also stressed that the new tools used today to process documents and reuse previous translations stored in the translation memories required awareness of a number of technical specificities.

The Head of Linguistic Workflow Management in the Linguistic and Logistics Area of EUIPO's Customer Services Department provided information about EUIPO’s language policy and the working documents used. He then invited the participants to split into groups and discuss and share experience gained with their own policies.

Finally, the Translation Coordinator of the EEA’s Communications Unit gave a presentation on the Agency’s GEMET thesaurus, a multilingual thesaurus for the environment, supporting 36 languages. It was developed between 1996 and 2001 and is currently undergoing a substantial update, with the Translation Centre being part of the process.

The meeting proved once again to be very fruitful, both in terms of better understanding the clients’ views of the Centre as a service provider and identifying further areas where improvements could be made and new cooperation projects.
